Main duties and responsibilities

We are seeking a dedicated and highly organised Exams and Awards Administrator to join our Registry Services Directorate and play a key role in the delivery of examinations and graduation ceremonies.

You will contribute to the planning, preparation and delivery of examinations, as well as the administration and on-the-day delivery of our graduation ceremonies, ensuring accuracy, professionalism and a consistently positive student experience.

Directorate
The Registry Services Directorate is responsible for the administration of the student journey from registration to graduation. This includes registration, UKVI compliance, timetabling, student records, examinations, awards and student fees. The Exams and Awards team deliver high-volume operations with precision and care.
Role
As an Exams and Awards Administrator, you will provide a professional and customer-focused administrative service across both examinations and graduation activities. Your responsibilities will include:
- Supporting the scheduling, preparation and delivery of examinations, working closely with timetabling, faculties and invigilators.
- Preparing and handling examination documentation in line with secure storage and data protection requirements.
- Assisting with the set-up and operation of examination venues and supporting students with agreed special arrangements.
- Administering graduation processes, including invitations, ticketing, ceremony preparation and on-the-day operations.
- Responding to a wide range of student, staff and external enquiries in a professional and timely manner.
- Supporting certificate production and distribution, including replacement certificates.
- Maintaining accurate records and contributing to continuous improvement of processes and systems.
- Working flexibly during peak periods, including evenings and weekends for graduation ceremonies.
Ideal Candidate
You will bring a strong administrative background and a commitment to service excellence. In particular, you will:
- Have experience of working in a customer-facing administrative role.
- Demonstrate high levels of accuracy, attention to detail and confidence working with large datasets.
- Have strong digital skills, including proficiency in Microsoft Office, particularly Excel.
- Be comfortable working to tight deadlines in a high-pressure environment.
- Communicate effectively with colleagues across the University and provide a professional, student-centred service.
- Show enthusiasm for learning, adapting to change and contributing to process improvement.
- Demonstrate a clear commitment to equality, diversity and inclusion in both service delivery and teamwork.
Experience of working in higher or further education, and of using digital workflow or automation tools, would be advantageous but is not essential.
